A look at how BHSoft assisted Hanoi in transitioning from fragmented spreadsheets to a unified geospatial platform, and what this signifies for organizations still traditionally managing assets.
The Alarming Concern
One morning at work, as a city operations manager, you open the morning report. A maintenance crew has submitted a ticket about a diseased tree on a busy street. You wonder if this is the same tree that was flagged last month. Has a replacement crew been dispatched? Is the new sapling recorded in the system? Even after three phone calls and two spreadsheets, you still aren’t sure.
Now, picture this scenario applied to tens of thousands of trees, numerous field crews, countless district offices, and the extensive road network of an expanding city. What begins as a mere inconvenience now escalates into a significant structural failure.
Urban asset management - street trees, road infrastructure, maintenance schedules, workforce coordination - has often been stuck in a cycle of paper logs, disconnected databases, and overlooked follow-ups. The consequences are real:
- Duplicated maintenance work that wastes budget and crew time.
- Hazardous or sick assets that go unnoticed until they create safety risks.
- No single source of truth, leading to decisions based on old information.
- Lack of visibility to confirm if field work has been done in the right locations.
- Poor tracking of replacement and planting cycles, which harms long-term planning.
“Managing thousands of geographically distributed assets without a spatial system is not just inefficient - it is a structural problem that erodes accountability at every level.”
Project Aim: A GIS Platform Built for Hanoi
BHSoft was engaged to create and provide a GIS-driven (Geographic Information System) platform for managing urban assets in the capital city of Vietnam. Originally, the project focused on the city's inventory of street trees, but later broadened to include field operations, departmental offices, and properties throughout the capital.
The platform's mission was straightforward: to drop fragmented, manual workflows by introducing a unified, map-based system. This system aimed to provide every stakeholder - from field officers to city planners - with an accurate and up-to-date perspective of the situation on the ground.
“The result was not merely a mapping application - it was a connected operations hub for one of Southeast Asia's most dynamic urban environments.”
Understanding What the Platform Does
Complete Street Tree Inventory
The platform’s map displays each street tree as an exact location, representing it with a tree symbol. If you wish to view the precise placement of every tree, simply enable the “Street Tree” option in the “Layers Tree” menu, which you can find in the top right corner of the platform.
Field officers document key details about each tree, including the species, planting date, health status, and any occurrences of maintenance or replacement. Thereafter, the GIS system centralizes this comprehensive history of every tree - from its initial planting to any necessary emergency removals - in a single location, providing you with a clear overview of its journey and status.
Maintenance & Lifecycle Workflows
The system monitors every maintenance activity for street trees around the city, from pruning and pest control to storm-damage repairs and tree replacements. Status indicators help provide city supervisors with a quick overview of which assets require attention, which ones are currently being worked on, and which tasks have been completed. This streamlined approach helps reduce the uncertainty often associated with traditional paper job cards.
Field Worker & Equipment Management
The same integrated platform that oversees tree and asset data also systematically records and manages field worker locations and assignments. Consequently, as a supervisor, you can assign crews to specific zones and verify that work is carried out at the correct location, improving accountability without adding administrative burden.
Layer-Based Map Management
Additionally, the platform features a layered map panel that allows you to easily toggle visibility across various administrative boundaries, including wards, districts, and provinces, as well as different road types, such as highways, railways, and provincial roads. In the top-right corner of the screen, the Layer Tree menu clearly displays these viewing options. The software was designed to grant each user role access solely to data pertinent to their responsibilities - ensuring clarity without unnecessary distractions or gaps.
Cross-Department Coordination
We integrate all district offices, committee locations, and departmental properties into one single mapping and management system. This allows teams to easily query office locations, examine departmental boundaries, and pinpoint the nearest resources to any field location. As a result, you can now accomplish with just a few clicks on the map what used to require numerous phone calls and spreadsheets, significantly streamlining the process.
The Issue Extends Far Beyond a Single City.
The challenge BHSoft solved for Hanoi is not unique to municipal government. Any organisation managing large numbers of geographically distributed assets faces a version of the same problem:
- Utilities manage electricity poles, pipelines, and fiber routes across large areas.
- Construction and property companies keep track of project sites and field crews.
- Agricultural businesses oversee plantation areas, irrigation systems, and harvest teams.
- Logistics companies monitor depots, vehicles, and delivery zones.
If your organisation is still managing geographic assets the traditional way - with spreadsheets or disconnected tools, the cost of that decision compounds every day, resulting in missed maintenance events, duplicated effort, and an inability to plan at scale.
The solution is an integrated and spatially-aware source of truth. BHSoft creates exactly that!
